Eco-well about working with BarTrack

Eco-well designs, supplies, and installs closed-loop ground systems that allow buildings to be sustainably heated or cooled using energy from the ground. As a technical project company with its own stock of pipes, fittings, and installation materials, Eco-well perfectly fits the type of organization for which BarTrack was developed: companies that work on a project basis but also need reliable insight into their material inventory. Where Excel lists and manual checks were previously the norm, BarTrack now provides clarity, efficiency, and direct integration with Exact voor Bouw.

The Challenge

When we first connected with Eco-well through Exact for Construction, they had already made significant progress in digitizing their administration. Yet, inventory management was still largely manual.

Arjan Steunenberg, responsible for work preparation and project coordination at Eco-well, explains:

“We tracked everything in Excel, and I would walk through the warehouse multiple times a week to check if we had enough materials. It was time-consuming and prone to errors.”

For a project-based organization that also manages a central inventory, this often led to uncertainty. They were looking for a solution to gain better control and overview without duplicating work across multiple systems.

The Solution: Clarity and Simplicity with BarTrack.

With BarTrack, Eco-well now has a clear and up-to-date view of their inventory. The integration with Exact for Construction ensures that inventory levels are automatically updated whenever materials are allocated to a project.

Sjoerd Endel, owner of Eco-well, explains:

“When materials are used on a project, it’s automatically recorded in the inventory. And when something is returned, we can easily add it back. We no longer have to manually update everything in Excel.”

BarTrack makes it easy to track material flow and inventory levels. They now know exactly what is incoming, what has already been reserved for projects, and what is still available.

Result: Always Up-to-Date Inventory Insights.

Thanks to BarTrack, Eco-well now has a reliable, up-to-date overview of their material inventory. This not only saves time but also prevents misunderstandings between the office and the warehouse.

“Where we used to rely on lists and rounds through the warehouse, we now get a full overview at a glance in BarTrack,” says Arjan.
“It’s mainly the simplicity that makes the difference — we no longer have to guess what’s in stock, and everything aligns neatly with what’s happening in Exact.”

Looking Ahead: Expanding BarTrack in Daily Processes.

Eco-well sees many opportunities to further integrate BarTrack into daily operations. In the future, they plan to make more use of features to closely monitor material flows and further reduce manual work.

“We see that BarTrack is continuously developed, and we can always reach out with questions or ideas,” says Sjoerd Endel.
“That helps us gradually get more out of the system and reduce duplicate work. BarTrack grows with us.”

The transition from Excel to BarTrack has helped Eco-well modernize and simplify their inventory management. The integration with Exact for Construction ensures that inventory changes are automatically processed with project bookings, minimizing manual work.

“BarTrack has turned our inventory administration from a manual process into an automated and reliable part of our daily operations,” concludes Sjoerd.
